MP Systems develops Spanish Electronic Invoicing Platform.

MP Systems is currently developing the electronic invoicing platform PYMETRONICA, an initiative promoted by two Andalusian organisations, ETICOM and SANDETEL. The objective of this initiative is to provide SMEs with an integrated platform for the management and optimisation of electronic invoicing, enabling the generation, distribution, management and retention of electronic invoices via the Internet, making it possible to entrust a third party with all or part of the electronic invoicing cycle generated between companies and providers, and between companies and clients, so that each organisation can decide which processes to carry out itself and which to entrust to a third party.

This project falls within the framework of the progressive incorporation of Information and Communication Technologies in companies, helping to shape a new economy in which a company’s productivity and competitiveness depends on its ability to generate, process and apply knowledge efficiently in a globalised and interconnected world. The continual evolution of ICTs is transforming the way that businesses work and relate to one another, changing business rules and considerably influencing the creation of a new social and economic context.

Therefore, the aim is for companies to incorporate the use of ICTs into their key processes in order to become more competitive, by developing new ways of doing business through competitive cooperation with other companies and exploring the enormous opportunities that e-commerce and electronic invoicing have to offer.

FACTORS AFFECTING COMPANIES’ DECISIONS WHETHER TO USE ELECTRONIC INVOICING

There are a number of barriers which currently prevent companies from adopting electronic invoicing solutions, among which we would like to highlight the following:

  • The existence of a large number of companies which are still attached to the traditional paper culture, and the considerable lack of knowledge of companies of the general features of electronic invoicing.
  • The perception of the need for a high level of technology in the company to be able to implement an electronic invoicing project.
  • The need for considerable investment with little visibility of return on investment.
  • The mistrust generated by the lack of standardisation and interoperability among the different formats of electronic invoicing, and by the levels of security provided by this type of solution.
  • The lack of integration with business management systems.
In order to overcome these barriers, the PYMETRÓNICA electronic invoicing platform will enable companies to choose whether to implement and integrate the e-invoice solution into their IT systems, or to entrust the management of their invoicing process to a “third party”. Moreover, with its expertise in providing technological solutions for business management and in the business processes of SMEs, MP Systems is a reliable option for the definition, development and launch of this platform, and will use its expertise and knowledge of best practice in business management to ensure the project’s success.

AIMS OF THE PROJECT

The main aim of the project, which is centred around the development and launch of an electronic invoicing platform, is to achieve the following two strategic objectives:

  • To promote and facilitate the incorporation of ICT solutions in companies.
  • To incorporate the use of reliable telematic systems into companies for their relationship with third parties, improving their competitiveness and adapting their business processes to new management models.
In order to achieve these generic objectives, MP Systems has identified a specific set of objectives which gave shape to the PYMETRÓNICA platform, enabling SMEs involved in the project to:
  • Issue, send and receive electronic invoices.
  • Save and safely store all their electronic invoices.
  • Reduce costs in terms of printing, management and storage of invoices.
  • Improve efficiency of collections and payment.
  • Obtain information in real time.
  • Reduce management times.
  • Increase agility in decision-making.
  • Reduce costs in terms of paper documents.
  • Improve the supplier-client relationship through more efficient communication.
  • Improve the reliability and availability of data.
  • Simple, fast, transparent implementation.
  • Low investment costs.
  • Integration with the companies’ internal management applications.
  • Allows organisations to forget about legal and technological issues.
  • Integral management of the legal and technological issues related to the invoices.
Lastly, it is important to highlight that PYMETRONICA will ensure that companies are fully prepared well in advance of the changes which many Government bodies are expected to make in the medium term, to make the use of electronic invoicing obligatory.

This project is supported by AEAT (the Spanish state body responsible for the control and management of federal taxes), which has selected this platform to be the Spanish electronic invoicing platform, and also considers the ERP MIC2000 to be the approved system for generating invoices in Facturae format.
